What's on the agenda?

We have to talk about the presentation we will propose next month, and we have 3 items on the agenda today. First, it's very important matter, Ms. Suzuki, who was decided to make a presentation, will not able to come to the presentation. We have to choose another presenter as soon as possible. Second, we have to remake presentation slides because the organizer asked us to make time for their vice leader to speak and we have to shorten the presentation time. Third, the cost of the project will be over the budget.

1. Kaede, the correct verb here is to "be able".
I see. The presentation was already revised and shortened since we were also informed earlier about that matter. As for a new presenter, do you have anyone in mind?

I'm appreciated your quick and polite work. Ms. Suzuki recommended her team member Mr. Kato. I think he knows about this project so much and he is really suitable to this project. However,he doesn't have a lot of experience of having a speech in English and I think he is a little bit nervous. Thus, I would like you to send your revised slides and attend a rehearsal by video conference next week.

1. You don't need the verb "to be" here.
2. The correct form is to "give" a speech.
Okay. I will send the presentation to him right away so he will have time to practice it. I will also give him the hard copy file for the presentation.

Great. Thank you so much. Then we talked about first and second items, so let's move on to the last item, which is about the cost. If the things are going the way they are, the total cost of the project will be 15% beyond the budget. The cost of rental fee of the place can't change, so we should reduce the cost of labor, setup the place, or distribution such as brochures and samples of our products.

1. "the" is always used with ordinal numbers.
Maybe we can try looking for a new venue if the venue that we have at the moment is pricey. There are a lot of venues which are the same as that one but cheaper.

Hum, I agree with you. I'll ask one of my member to look for other venues. Then I have two other options to reduce the cost. Firstly, to save the setup costs, we can arrange the venue by ourselves. But compared with setup company, more time will be needed, so we should finish preparing of the project earlier. Secondly, to save the cost of distributing our samples, quantity of sample will be reduced. I don't think it'll spoil the project, or it'll improve the effect of attracting customers, because Japanese really like "limited number".

1. Always follow "one of" with a plural noun.
With regards to the samples, I don't think we have to reduce it since we are actually promoting here our products. In this case, we should not limit the products.

In my opinion, if we want to promote something, the place is the most important, because if the promotion event is held really far away from where they live, people don't want to visit. I believe that we should reduce the cost of venue or the samples. Then I have alternative idea. How about letting visiter try our products? Visiters can enjoy our promotion event, and we can save the cost of distributing a lot of samples.

1. Use a participle (a, an, the) with nouns. Good work, Kaede!
